Instructions for oral presentations

Dear presenters,

We would like to provide you with some guidance on preparing your oral presentations. Please take a moment to review the details provided below.

General information

  • Please check the schedule to find your session and presentation slot.
  • Each oral presentation will consist of 15 minutes of speaking time plus three minutes for Q&A, for a total of 18 minutes per presentation slot. The session chair will notify you when a certain amount of time remains for your presentation. Any presentation that exceeds the allotted time will be interrupted, so please plan accordingly.
  • All presentations are to be held on-site in Berlin. An online presentation is not possible.
  • The official language of the event is English. Therefore, all presentations must be prepared and delivered in English.
  • Since the presentation schedule is tight, it is of the utmost importance that all presenters are ready and on time for their presentations. Therefore, please arrive 10 minutes before your session begins on the day you are presenting. Please use this time to meet with your session chair to let them know you are present.
  • Please note that the program is subject to change. Therefore, we strongly recommend that you double-check the time of your presentation one or two days before the workshop begins.
  • The presenter of the abstract must register and pay the workshop fee by May 18, 2026. If the designated presenter has not registered by then, your presentation will be removed from the program.

Formatting instructions

  • Presentations in PPT, PPTX, and PDF formats will be accepted. If you have created your presentation in Apple PPT, please test it on a Windows PC to make sure that it displays correctly.
  • Avoid using external links in your presentation. The presentation computers will not be connected to the Internet.
  • Presentations should be prepared in widescreen format with a 16:9 aspect ratio. Instructions for resizing slides can be found here.
  • Non-standard fonts must be embedded. Instructions for embedding fonts can be found here.
  • All images and graphs must be embedded without links.
  • In our experience, video clips often cause problems. If you plan to use video clips in your presentation, please check them on the computers at the Media Upload Desk onsite.

Presentation upload

  • All presentations should be uploaded in advance to the Fourwaves platform in both PPTX and PDF format by Friday, June 12, 2026.
  • The presentation upload will open approximately four weeks before the workshop. You will receive a notification from the Fourwaves system informing you that you can upload your files.
  • You may also submit your presentation via email to info[at]tandempv-workshop.com, also by Friday, June 12, 2026.
  • Alternatively, you may upload your presentation at the Media Upload Desk onsite at the workshop on the morning of your session day. We strongly advise that you upload your presentation in advance to avoid delays and potential problems
  • After the workshop, the PDF version of the presentation will be made available to conference participants in the password-protected internal area of the digital conference platform, if the presenter or author has agreed to this during the upload process.
